OfficePortal vs UKG: the lighter, faster alternative to enterprise HCM

UKG builds deep HR, payroll and workforce management software for mid-sized and large employers. OfficePortal gives growing teams attendance, shifts, leave, reviews and payroll without a months-long project.

Quick answer

For small and mid-sized teams, OfficePortal is the quicker and far cheaper option; UKG is built for larger and more complex workforces. OfficePortal, the HR and payroll platform from Awarious Technology Solutions, includes attendance with biometric check-in, shift scheduling, leave, performance reviews and payroll for $5 per user per month, or $4 billed yearly, with a free plan for up to five users. UKG, formed in 2020 from Kronos and Ultimate Software, sells UKG Ready for mid-market companies and UKG Pro for enterprises by quote; independent estimates put Ready at about $21 to $33 per employee per month, with implementation fees and rollouts measured in months. What is UKG?

UKG (Ultimate Kronos Group) formed in 2020 when Kronos, known for time and workforce management, merged with Ultimate Software, known for HR and payroll. It has dual headquarters in Lowell, Massachusetts and Weston, Florida, and Hellman & Friedman is its controlling shareholder. It sells two main suites: UKG Ready, aimed at mid-sized companies, and UKG Pro, for large enterprises, which includes advanced workforce management and, reportedly, global payroll through its Immedis acquisition. UKG says it serves more than 80,000 customers.

UKG Pro or UKG Ready: and where does OfficePortal fit?

Independent guides place UKG Ready at roughly 200 to 2,000 employees and UKG Pro from around 750 employees into the tens of thousands. OfficePortal sits below and alongside Ready: it suits teams from a handful of people to several hundred that want the core of HR done well without an enterprise implementation.

Why choose OfficePortal over UKG?

  • Published prices: Premium is $4 per user per month billed yearly on our pricing page, with no hidden fees.
  • Free to start: the Standard plan is free for up to five users.
  • Fast implementation: our onboarding team handles setup, data migration and training for you, with no separate implementation project to run.
  • Attendance and shifts: biometric and web check-in, GPS and selfie add-ons in attendance tracking, and shift scheduling with automatic overtime.
  • Leave and reviews: leave management and performance reviews in the same plan.
  • Simple to use: fewer menus for managers and staff, with mobile apps for both.
  • Security: AES-256 encryption, SOC 2 compliance and 99.9% uptime.

How much does UKG cost?

UKG doesn't publish prices. Independent estimates put UKG Ready at about $21 to $33 per employee per month and UKG Pro at about $27 to $41, depending on modules. Implementation is extra: one consultancy estimates 20 to 40% of annual software cost for Ready and 40 to 70% for Pro. These are estimates, so ask UKG for an itemised quote.

For 50 people, UKG Ready's estimated range is about $1,050 to $1,650 a month before implementation. OfficePortal Premium costs $200 a month.

UKG disadvantages: why do companies look for alternatives?

  • No published pricing, and estimates make it expensive for smaller teams.
  • Implementation cost and time. Rollouts are commonly estimated in months, with fees on top.
  • Learning curve. Reviewers mention menu-heavy screens and admin work to keep it running.
  • Limited customisation, according to some reviewers.
  • Support quality, which comes up in reviews on Capterra and Gartner.
  • Paying for unused features. Some reviewers say costs feel high if you don't use the full suite.

When is UKG the better choice?

If you run a large or complex workforce, with unions, multiple pay rules, many sites or global payroll, UKG's workforce management depth is hard to match. It has decades of experience in timekeeping and scheduling, and UKG Ready gets good marks from reviewers for mobile and support. OfficePortal isn't trying to replace that at enterprise scale.

Does OfficePortal file US payroll taxes?

No. OfficePortal doesn't file US federal, state or local payroll taxes or run payroll across multiple countries. UKG does both, so factor that in if you need them.

How do you switch from UKG to OfficePortal?

  • Export employee records, pay history, time and attendance data, leave balances and review history.
  • Book a demo. Our onboarding team handles setup, migration and training.
  • Connect biometric devices, set up shifts and leave policies, then run one payroll in parallel.
