AWOL means absent without leave. At work, it's the person who doesn't turn up, doesn't phone in and doesn't pick up when you ring. Or the one who went to Malaga for a fortnight and somehow never came back. You won't find "AWOL" anywhere in UK employment law, mind. Legally it's unauthorised absence, and that's more than a wording quibble: a no-show isn't a resignation, however tempting that thought is at ten o'clock on a hectic Monday. So the order is welfare first, paperwork second, discipline last (if at all). Get it backwards and you could end up defending an unfair dismissal claim. Software won't solve AWOL, but it can warn you hours earlier.
A bit of history
It's army slang. Soldiers were already saying it letter by letter, A-W-O-L, during the First World War; the one-word "ay-wol" crept in later. (Want the two-line version? It's in our glossary under absent without leave.)
AWOL vs unauthorised absence: any difference?
Not really. Acas counts it as unauthorised absence when someone's off without permission or ignores the reporting rules, and rolling in late or sloping off early can count too. "AWOL" is just managers' shorthand for the worst version: vanished, no explanation.
One trap. Plenty of American HR blogs call three days of no-shows "job abandonment", as if the person has quit. In Britain the job doesn't just evaporate. Until somebody formally ends the contract, that missing employee is still yours.

Monday, 6.20am: someone's gone AWOL
Let's make it real. Say you run the early shift at a bakery. Clock-in is 6am. By 6.20, one of your packers, call him Dan, still hasn't appeared.
Before grabbing your phone, check it isn't your own mess. Is a holiday request of Dan's sitting unapproved in the leave management system? Did he swap with Sam on Friday, with nobody updating the shift schedule? Embarrassingly often, it's one of those.
No? Ring him. Ask if he's all right before asking where he is. Try his work mobile, his own phone, email, then whoever he put down as an emergency contact. Acas saves a home visit, or a police welfare check, for when you're properly worried about someone.
Scribble down each attempt. "6.25, rang mobile, voicemail." Dull, yes. But should this ever reach a disciplinary panel or a tribunal, those notes are what show you behaved reasonably.
When Dan resurfaces, let him talk first. No-shows sometimes turn out to be a poorly child, a night in A&E or someone quietly struggling with their mental health, and the Equality Act 2010 may be relevant. If his story doesn't stack up, that's the moment for your disciplinary procedure and the Acas Code of Practice. Paying him for the missing day? Usually you needn't, but read his contract before docking a penny.
Which software actually helps with AWOL staff?
Nothing fancy. You want a system that shows Dan's missing clock-in at 6.05, not on a monthly report three weeks later. Holiday and rota data should sit alongside clock-ins, or you'll be flicking between three spreadsheets just to work out whether he was due in. A proper home for call logs and letters matters too (a supervisor's WhatsApp doesn't count). Pattern reports are a bonus. One Monday off is life. Five Mondays in a row is a conversation.
How OfficePortal handles it
OfficePortal keeps attendance tracking, leave and shift rotas in one system, while call notes, letters and return-to-work forms go into HR document management. Dan's missing biometric punch (or GPS check-in, if he works out on the road) is visible once the shift starts, so his supervisor can spot the gap by 6.05 instead of at lunchtime. On a manufacturing line or a retail floor, a morning's head start is worth having. One absent packer can stall a line; one absent cashier means a closed till and a longer queue.
Your AWOL policy on the back of an envelope
Who people ring, and by what time. How many times a manager tries to reach them (we'd say three channels, minimum). The point at which you're worried enough for a welfare visit. Where it all gets written down. And when, if ever, it turns into a disciplinary matter. Pop it in the handbook, mention it at induction, then stick to it, even when the person who's gone missing is your best worker.
Conclusion: Manage AWOL and unauthorised absence with OfficePortal
OfficePortal can't make Dan turn up. What it can do is show you he's missing while there's still time to rescue the shift, then keep every call, note and return-to-work form in his file, protected by AES-256 encryption, in case you need it later. Clock-ins, leave and rotas sit in one place, on the web and in the Android and iOS apps, so "was he even meant to be in?" takes seconds to answer. Teams of up to five can start free with OfficePortal. Bigger teams can compare plans on the pricing page, or book a demo and we'll show you how it works with your rota.
