Timesheet #
OfficePortal provides a unique feature to record the daily activities of the employees based on the time spent on each project and task/subtasks. Employees can submit all these records to their reporting manager, which can be approved or rejected. This feature gives daily insights into the work-related activities of the employees.
Advantages of timesheet #
- It helps to track the tasks and projects of each employee.
- Allows computation of salary based on the number of hours.
- Helps to generate invoices for projects based on the number of hours worked and the hourly rate.
In the time tracker, you can track the time spent under two different features,
- My timesheet
- My team timesheet
My Timesheet #
As the name implies, my timesheet is an employee’s daily report of all the activities/tasks they do during each day. It’s the employee’s responsibility to record the time spent on various projects and submit it to the manager for approval.
How do employees submit their timesheets? #
You can navigate to the Time Tracker >My TimeSheet and follow the below steps to save/submit the timesheet
- Navigate to the week for which you need to save/submit the timesheet with the help of previous and next week arrows on the top.
- Once you click on the “+” button, you can view a row to add your work details. With the help of the “+” button, you can add multiple works for the same or different projects.
- You can view all the active projects assigned to you on the Project drop-down list. Among those, you can select any one project for which you have worked on that particular day/week.
- On the Task drop-down list, you can view all the active Tasks related to the project you are working on. Among those, you can select any one task for which you have worked on that particular day/week.
- You can select the billing method for the task chosen. It can either be “Billable” or “Non-billable”.
- After that, you can enter the time in hours and minutes (HH: MM)format you have spent on the task on each day.
- If you work on any weekend or Holiday, you can update the time spent on those days.
- Once you enter the time, you can view the total logged and billable time on the top.
- Once you fill the timesheet, you can save, partially submit, submit the timesheet for the whole week by clicking on the “Three dots button” on the top. (we shall recommend you to save the data in the timesheet every day and submit it at the end of the week).
- If you want to save the timesheet, follow the steps mentioned below
- Click on the “three dots button”.
- Click on the “Save button”.
We will save the timesheet, and it is ready for submission anytime.
- If you want to submit the timesheet for the entire week, follow the steps mentioned below
- Click on the “three dots button”.
- Click on the “Save & submit button”.
- Click on the “Confirm” button on the confirmation dialog box.
The timesheet will be saved and submitted for approval for the whole week.
- If you want to submit the timesheet partially, follow the steps mentioned below
- Click on the “three dots button”.
- Click on the “Save & Partially submit button”, “Partially submit Confirmation button” will appear.
- Select the “Start Date and End date” of which you wish to submit the timesheet partially.
- Finally, click on the “Submit” button.
The timesheet will be saved and partially submitted for approval for the selected dates.
- If you want to save the timesheet, follow the steps mentioned below
Once the timesheet is partially submitted or submitted, it goes to the reporting manager for approval. If the reporting manager is satisfied with the submitted timesheet, your timesheet will be approved; else, it may get rejected.
Notes #
- If the manager rejects your timesheet, you can make the necessary changes and resubmit it to proceed further.
- If an employee wants to make changes to a timesheet that is approved (or), the reporting manager approves the request by mistake. Then the reporting manager can revoke the timesheet from my team timesheet anytime. Once the timesheet is revoked, you can make the necessary changes and resubmit it to proceed further.
